Dudley, Topper and Feuerzeig, LLP (DTF), a leading U.S. Virgin Islands law firm, is seeking an experienced Administrator to manage its St. Thomas office.  The successful candidate will work closely with the Managing Partner and must be experienced in directing and overseeing all administrative functions, office planning, human resources, facilities management, IT functions and other key office functions.  Areas of responsibility include:

 

Human Resources

  • Daily supervision of office and staff, including supervision of 15 staff members
  • Execute the recruitment, career development and retention of a diverse professional support staff, including conflict resolution, counseling and coaching
  • Understand and implement Firm benefits including health insurance, paid time off, 401(k), etc., including reporting requirements
  • Recommend solutions to improve employee performance to include training of staff and attorneys
  • Maintain and ensure completeness and accuracy of personnel files
  • Ensure firm policies and handbook are up to date, implement new policies as needed, and interpret and enforce policies and procedures accordingly
  • Coordinate dues and memberships for attorneys 

 

IT

  • Work with professional IT consultants to plan, manage and direct the technology, communications, and information systems of the Firm
  • Interface with users on day-to-day issues, providing on-site user support
  • Understand and implement cybersecurity policies, educate users on security issues and solutions
  • Interface with clients on privacy and security regulatory compliance

 

Facilities

  • Maintain systems and functionality of 13,000 sq ft building including a/c, generator, water, etc.
  • Interface with vendors for services provided to the Firm, including copiers, telephone service, advertising, charities, etc.
  • Work with contractors and architects to oversee major reconstruction of facilities following Hurricane damage, including preparation for and implementation of office moves

 

Required Skills and Experience

 

3-5 years of law firm or other office administration experience, including HR duties; training courses and/or HR certification a plus

Ability to build professional working relationships with Partners, other attorneys and staff

Excellent organizational and analytical skills and understanding of Law Firm finance

Computer knowledge including Microsoft Office and Quickbooks.  Knowledge of Perfect Law, SoftPro and Displaysoft a bonus

Excellent oral and written communication skills
